Position Summary The Legal Assistant provides administrative, operational and document management support to the Asia Pacific Legal Department. The role supports the Regional Counsel and legal team members in Singapore and selected Asia Pacific jurisdictions, ensuring efficient legal operations, contract administration, corporate documentation management, vendor payments and knowledge management. Legal and Administrative Support * Provide administrative and operational support to the Regional Counsel and legal team members across Asia Pacific, travel bookings etc.. * Coordinate meetings, maintain legal records and support regional legal projects. Contract Administration, Electronic Signatures and Corporate Documentation * Manage signature processes for contracts and other legal documents. * Coordinate timely execution of select contracts and maintain execution records. * Archive executed contracts in company repositories. * Coordinate the circulation of board resolutions, powers of attorney and other corporate governance documents for review and signature by authorized directors and officers. * Track signature status and maintain records of executed corporate documents. * Proactively monitor outstanding signature requests, contract executions, invoice approvals and other legal workflows, escalating delays or bottlenecks in accordance with established procedures. * Follow escalation protocols to ensure timely responses from stakeholders, external counsel, service providers and signatories. * Distribute legal documents or extracts of legal database to other Company organizations upon request Invoice Processing and Vendor Management * Coordinate payment of external law firms, consultants and service providers. * Review invoices for compliance with internal procedures and liaise with Finance for timely payment. * Maintain records of legal spend and vendor information. Qualifications and Experience * Diploma, Bachelor’s degree, paralegal qualification or equivalent experience. * 5-10 years of experience in a legal assistant, legal administrator. * Experience with e-signature platforms and invoice processing preferred.
